This position is responsible for ensuring the overall coordination of WHA's physician visits to satellite offices, as well as provides additional support to the clinicians of Northwest Perinatal Center as needed. This includes coordinating both the east and west clinician office, call, and time-off schedules through the call scheduler and practice management software. This is an ideal position for someone who is able to work independently and in a team, has great communication and de-escalation skills, and is flexible in adapting to changing needs.

*This is a 40 hr/week position, Monday - Friday.


  • Coordinates on a daily basis with all WHA sites and satellite offices to ensure patient and physician scheduling needs, patient demographics and information, and questions resulting in scheduling are met.
  • Works within the practice management portion of WHA's EMR system to accomplish the following tasks; scheduling and/or rescheduling patients, patient volume tracking, adjusting patient flow, and redirecting scheduled patients as needed.
  • Opens ultrasound templates and builds ultrasound templates for al WHA clinics.
  • Performs the duties of Call Scheduler for NWP-W and NWP-E clinicians as outlined in the Call Scheduler job description.
  • Uses document management software to associate electronic health information to the correct patient's chart. Scans documents as needed.
  • Compiles, prints, and distributes ultrasound orders to appropriate recipients.
  • Accurately uploads all relevant patient information and distributes satellite fee tickets to appropriate recipients.
  • Oversees the scanning and indexing work flow within Northwest Perinatal Center.
  • Supports Practice Manager, Director of Imaging and clinicians by accomplishing the following tasks; maintains records and production levels, tracks various statistics as directed, schedules various meetings, including meetings for clinicians in the clinic and at the hospital, and meetings for Moderate Risk clinicians.
  • Electronically files documents per WHA clinic guidelines.
  • Assists Ultrasound department with gathering and documenting information for Quality Improvement purposes in order to help maintain accreditation.
  • Examines patient's electronic medical record and demographics for required information for the next day appointments.
  • Obtains records, performs data entry, verifies and updates personal, health, billing and insurance information.
  • Scans and updates insurance information into patient's account.
  • Contacts patients and referring providers via telephone.
  • May communicate call schedules and holiday hours to answering service as needed.


  • High school diploma or GED required.
  • Prior experience in an OB/GYN or perinatal medical group with knowledge of genetic screening required.
  • Working knowledge of ultrasound types, orders, and procedures.
  • Working knowledge of ultrasound reporting and PAC systems.
  • Working knowledge of medical terminology and various medical documentation required.
  • Working knowledge of document scanning and indexing processes required.
  • Prior experience in Docutrak or other document management software.
  • Knowledge of or ability to learn time requirements for patient scheduling.
  • Proven effective verbal, listening and written communication skills required.
  • Knowledge of keyboarding, data entry and basic computer skills, including Microsoft Office products (Word, Outlook). Knowledgeable in Microsoft Office products required.
  • Knowledge of medical insurance plans preferred.
  • Must be able to pass a drug screen and background check.
  • Ability to demonstrate the Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
