We are seeking a Human Resources Assistant to provide administrative support to our HR department and general support to our Beveland location.  Duties include greeting and directing visitors, answering and directing calls, delivering mail, organizing activities, meetings, and events. This position may also assist with processing enrollment paperwork related to benefits, scheduling interviews, facilitate pre-employment drug testing and criminal background checks, provide basic leave of absense information, process employment verification requests, and more.

This is the ideal role for someone who is organized, detail oriented, able to anticipate needs and enjoys being a part of a fun, collaborative team. Prior human resources experience a plus!


  • Answers and directs all incoming calls for administration. Takes messages or transfers calls as appropriate.  Answers or refers inquiries as necessary.
  • Greets and directs visitors and notifies administrative team of visitor's arrival.
  • Provides general clerical office support including opening and delivering mail, copying, faxing and filing.
  • Prepares and distributes all courier and inter-office mail, helping to ensure regular and reliable service from courier.
  • Prepares and stamps all outgoing mail. Assists with the assembly and distribution of internal and external mailing projects.
  • Maintains orderliness of administrative conference rooms, supply room, galley and break room. Empties dishwasher daily.
  • Orders food and beverages for meetings as needed. Provides set up of equipment, food, etc. for meetings.
  • Provides general administrative support to the HR department including answering and directing phone calls, emails, copying, faxing, filing and taking meeting minutes.
  • Assists with scheduling and organizing activities, events, meetings, etc.
  • Prepares correspondence and other documents. Proofreads and edits for spelling, grammar, punctuation and formatting.
  • May process enrollment paperwork related to benefits. May answer general questions related to employee benefits and forwards complex questions or issues to the HR Specialist. May explain benefits and enroll new employees at "sign up" time and/or at periodic open enrollment meetings. May reconcile benefits invoices.
  • May schedule interviews, facilitate pre-employment drug testing and criminal background checks, and provide other administrative support to recruiters.
  • May provide basic leave of absence information or leave packets to employees, record leave hours, or provide other administrative support to leave specialists.
  • Furnishes employee information to authorized persons, and assists employees on matters regarding personnel forms and records.
  • Processes employment verification requests.
  • Maintains a variety of employee records and databases. Ensures data entry is timely and accurate. Ensures personnel files are filed accurately and filing is up-to-date. Uses basic understanding of records retention regulations to maintain records that comply with applicable laws.
  • Maintains/ensures electronic HR folders are current and organized appropriately.
  • Assist in processing HR related invoices, such as drug testing and benefits, etc.
  • Inputs data, writes, runs and distributes a variety of reports on the Human Resource Information System (HRIS). Assist in development of standard and customized reports for ongoing customer needs.
  • Works the registration table at All Staff Meetings. Ensures employees are signing in upon arrival. Collects sign-in sheets at the end of the meeting. Assists with company events and activities.
  • Prepares and processes employee new hire paperwork. Enters all personnel benefit status changes into HRIS, and ensures electronic status change forms in HR Actions are accurate.  Ensures all status changes forms are processed accurately and thoroughly.
  • Tracks data and generates a variety of reports on training programs, certifications, licensure renewals, internal credentialing processes, etc. Notifies managers and ensures timely delivery, entry and filing of all documentation.
  • May assist employees with questions regarding myHR employee self-serve module.
  • Takes responsibility for and demonstrates safe work practices.
  • Maintains regular and predictable attendance.
  • Maintains WHA confidentiality standards.
  • Attends WHA and office meetings.
  • Models The Values Statement and The Patient Experience of WHA.


  • High school diploma or GED required.
  • Excellent working knowledge of Microsoft Office Products (Word, Outlook, Excel) required. Broad range of computer skills preferred.
  • Previous Human Resources, general office or administrative assistant experience required.
  • Previous HRIS or other database querying and reporting experience preferred.
  • Understanding of HRIS database design, structure, functions and processes, and experience with database tools preferred.
  • Ability to communicate effectively, both verbally and in writing, including excellent customer service skills.
  • Knowledgeable in proper English grammar, vocabulary and punctuation.
  • Knowledgeable in proper business writing standards for letters, memos, minutes, etc.
  • Must be detail oriented and accurate.
  • Must be able to pass a drug screen and background check.
  • Ability to demonstrate The Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
