We are seeking an organized, dependable individual to provide administrative support to our Accounting Department, primarily Accounts Payable and Payroll. The ideal candidate for this position will have the ability to work independently and exercise appropriate judgment and initiative in a fun, team-oriented environment. 

*This is a full-time, 40 hour/week position.

DUTIES

  • Performs data entry, including inputting invoices into the accounting software for payment.
  • Performs data entry of vendor invoices in the purchasing software for transfer to general ledger software for payment.
  • Communicates with vendors regarding the vendor accounts, invoices or resolving any issues that arise with regard to payment.
  • Helps maintain A/P vendor files, including archiving and setting up new vendor files at year end.
  • Provides general administrative support including answering phone calls, copying, scanning, faxing, mailing, filing and stuffing envelopes.
  • Effectively handles multiple assignments, special projects and other duties as assigned.
  • Prepares correspondence.  Proofreads and edits for spelling, grammar, punctuation and formatting. 
  • Assists department with generating and completing payroll reports, expense reports, petty cash replenishments, and company credit card statements.
  • Performs account reconciliations for various general ledger accounts. 
  • Prepares invoices for vendors and external customers.
  • Documents department procedures and workflows.
  • Works within many different software programs. 
  • Assists Accounting Supervisor and CFO with other tasks as assigned.  
  • Ensures data entry is timely and accurate. Ensures filing is up-to-date. 
  • Takes responsibility for and demonstrates safe work practices.
  • Maintains regular and predictable attendance.
  • Maintains WHA confidentiality standards.
  • Attends WHA and office meetings.
  • Models The Values Statement and The Patient Experience of WHA.

QUALIFICATIONS

  • High school diploma or GED required. Associate's or Bachelor's degree in Accounting or other related field preferred.
  • Proficient in Microsoft Office products (Word, Excel, Outlook, PowerPoint, etc.).
  • Experience with Sage or other computerized accounting software preferred.
  • Previous Accounting, general office or administrative assistant experience required.
  • Must be detail oriented and accurate.
  • Ability to perform basic mathematical calculations.
  • Knowledgeable in proper business writing standards for letters, memos, minutes, etc.
  • Must be able to successfully complete a background check.
  • Ability to demonstrate The Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
