This role will be responsible for supporting the Purchasing department with the procurement of supplies for WHA, as well as providing support for various services, according to established standards and processes. The Buyer also performs administrative duties related to the supply cycle and assists in the development and maintenance of best practices, quality improvement and strategic process changes to promote efficiencies with the Purchasing Department.

Ideal candidates must be able to work well independently (and also within a team), build rapport and strong relationships with external vendors, prioritize workload effectively and meet deadlines, and be extremely detail oriented. Two years of purchasing or supply chain experience is required and experience in the healthcare industry is strongly preferred.

*This is a 40 hrs/wk position working Monday - Friday from 8:30am - 5:00pm.


  • Monitors and maintains the supply cycle by effective use of materials management software.
  • Must be able to accurately identify, research and resolve receiving concerns, including mis-ships, damaged product, returns, exchanges and other delivery issues.
  • Must be able to accurately process varied medical product recalls as needed, per manufacturer and vendor instructions.
  • Responsible for varied administrative tasks such as database master maintenance, maintaining neat files, invoice matching and managing substitutions of discontinued items.
  • Manages back-orders, assuring timely delivery and product availability. Communicates back-orders to Purchasing Manager and contacts at clinical sites on a regular basis, per Purchasing Department guidelines.
  • Assists Purchasing Manager with item standardization, pricing revisions, contract compliance reporting, site stock room organization and research on items being considered for purchase.
  • Assists in bid preparation and analysis for furniture, capital equipment and other items as needed.
  • Must be able to perform various stockroom duties. This may include stocking shelves, climbing on a stepstool, lifting boxes up to 15 pounds, stooping, carrying.
  • Coordinates deliveries and installation of furniture, equipment and other supplies as needed.
  • Assist in managing medical equipment repair and other facilities related concerns
  • Manages office supply orders for all WHA sites, ensuring contract and policy compliance.
  • In absence of Purchasing Manager, reviews and approves purchase orders for medical- surgical supplies.
  • Responsible for administrative office supply orders. This includes keeping appropriate par levels, placing orders as needed and stocking items to their designated storage space upon arrival. Ability to lift product and boxes is required.
  • Provides a gold standard of service to internal customers.
  • Maintains an understanding of medical supplies and the equipment requirements of the clinics.
  • Takes responsibility for and demonstrates safe work practices.
  • Maintains regular and predictable attendance.
  • Maintains WHA confidentiality standards.
  • Attends WHA and office meetings.
  • Models The Values Statement and The Patient Experience of WHA.


  • High school diploma or GED required.
  • At least two years of purchasing or supply chain experience required, healthcare industry strongly preferred.
  • Two years of customer service experience required.
  • Proficient in using materials management software, Envi/IOS strongly preferred.
  • Proven effective verbal, listening and written communication skills.
  • Proficient in Microsoft Office products (Word, Excel, Outlook, PowerPoint), advanced Excel skills preferred.
  • Travel from clinical sites may occasionally be required; reliable transportation necessary.
  • Must be able to pass a drug screen and background check.
  • Ability to demonstrate The Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
