Assists with patient relations ongoing functions and projects. Assists in documenting and conducting patient concern resolution. Provides administrative support to Risk and Compliance Manager.


  • Takes responsibility for and demonstrates safe work practices.
  • Maintains regular and predictable attendance.
  • Maintains WHA confidentiality standards.
  • Attends WHA and office meetings.
  • Models The Values Statement and The Patient Experience of WHA.
  • Resolves intermediate-level patient concerns and tracks concern resolution. Ensures timelines for patient contact are met and complaint documentation is completed. Coordinates financial adjustments with Patient Financial Services.
  • Collects data and runs reports to trend patient complaints for improvement planning.
  • Supports patient complaint and patient safety software, manages user permissions, conducts training, acts as internal troubleshooting resource.
  • Creates and distributes agendas and supporting materials, takes minutes and sends meeting reminders for the Risk Management and Patient Experience committees.
  • Facilitates HIPAA Incident Risk Assessments
  • Provides administrative support by scheduling meetings, preparing agendas, taking minutes and capturing action items and following-up on deliverables.
  • Provides general administrative support, including scanning, mailing, copying, faxing, filing and submitting check requests.


  • Bachelor's degree or equivalent experience.
  • 1-2 years of experience in a business environment with a customer service focus.
  • Excellent verbal and written communication skills.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations.
  • Experience providing general office/administrative assistant support required.
  • Knowledge of proper business writing standards for letters, memos and other internal and external correspondence. Experience taking minutes.
  • Advanced knowledge of Microsoft Office products (Word, Outlook, Excel, Visio, and PowerPoint).
  • Current driver's license and vehicle, or ability to procure transportation to other clinics or meeting sites.
  • Ability to demonstrate the Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job and demonstrate the core competencies
