The Back Office Assistant rovides clerical and medical transcription support to clinical staff in order to ensure efficient patient flow and quality patient care.

*This is a 40 hr/wk position at our Northwest Perinatal Office in SW Portland.  Experience in OB/Gyn or Maternal Fetal Medicine a plus.  


  • Provides administrative support to the clinicians including: provider telephone call coordination, hospital admission and procedure scheduling, medical records acquisition and distribution, coordination of external patient testing, assistance with outside patient referral coordination, clerical administration support.
  • Answers and routes incoming back office phone calls and initiates outgoing clinician phone calls in a professional, courteous and timely manner.
  • Creates EMR documentation of phone calls per workflow protocols.
  • Corresponds with hospital staff to schedule and coordinate admissions and procedures.
  • Provides medical records coordination by retrieving records from referring provider offices and sending records to referring provider offices as needed. Works with HIM department to facilitate record releases. Obtains and copies chart notes needed for referrals.
  • Works in conjunction with the NWP Navigators and clinicians to complete assigned tasks.
  • Performs the duties of a Medical Transcriptionist as outlined in the relevant job description and depending upon individual's qualifications.


  • High school diploma or GED required.
  • Experience in a medical office or hospital setting required, preferably in OB/GYN or a perinatal office.
  • Experience in medical transcription required, preferably in an OB/GYN or Perinatal office.
  • Certification from an accredited medical transcription program preferred.
  • Knowledge of medical terminology required.
  • Knowledge of medical practice scheduling software and EMR experience preferred.
  • Knowledge of Microsoft Office products (Word, Excel, Outlook).
  • Performs work with a high degree of detail and attention to accuracy.
  • Knowledgeable in proper English grammar, vocabulary and punctuation.
  • Proven effective verbal, listening and written communication skills.
  • Demonstrated ability to work in a fast-paced environment and effectively work with others.
  • Ability to demonstrate The Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
