Our surgery scheduler is responsible for scheduling procedures/surgeries and related services necessary in caring for the needs of our patients. In addition to surgery scheduling duties, this position will also be responsible for coordination of OB services for new patients as well. 

*This is a 40 hrs/wk position working Monday - Friday at our Gateway Clinic. 


  • Answers telephone calls, takes accurate detailed messages, schedules appointments, and completes necessary paperwork.
  • Contacts patients for preferred scheduling dates or offers available dates.
  • Schedules surgery with Insurance-designated hospital.
  • Logs surgeries and e-mails surgery confirmation to clinicians.
  • Audits and completes checklist for surgery procedures and prior authorizations.
  • Confirms surgery date, schedules necessary appointments related to surgeries, and reviews surgery instructions with patient.
  • Notifies Patient Accounts to obtain authorization from the health insurance.
  • Updates surgery assistant calendar, identifies surgery assistant to facilitate surgery flow.
  • Communicates with all relevant parties for cancellations, schedule changes, surgery assistant changes.
  • Maintains cooperative relationships with clinicians, clinical and patient services staff in coordination of patient care.
  • Reviews and maintains various logs and records.
  • Coordinates patients' initial appointments and OB intake. 
  • Coordinates initial IPA class and new OB appointments for patients. Checks in patients for IPA classes. 


  • High school diploma or GED required.
  • Prior receptionist or customer service experience required.
  • Ability to read and understand written materials.
  • Ability to write legibly.
  • Knowledge of medical terminology required.
  • Previous surgery scheduling experience in an OB/GYN medical group setting preferred.
  • Prior experience with or the ability to learn practice management scheduling software required.
  • Demonstrated ability to follow through in great detail with high level of accuracy.
  • Written communication skills and the ability to write correspondence with proper punctuation, grammar, spelling etc.
  • Must be able to pass a drug screen and background check.
  • Ability to demonstrate the Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
