This position works to ensure timely scanning and indexing of health information into the medical record and practice management system. Responsible for ensuring record releases are processed within specified time frames. Retrieves charts from storage areas.

This is a 40 hr/wk Monday-Friday position at our Administrative Office in Tigard.

DUTIES:

  • Proactively monitors the medical records proxies in order to ensure timely retrieval of charts from Iron Mountain and other storage areas.
  • Organizes documents for scanning, uses electronic scanning software and hardware to scan documents into software systems and indexes documents accurately in appropriate electronic folders.
  • Reviews scanned documents in the EMR for quality (image, rotation, and document type) and corrects errors and omissions.
  • Utilizes software to accurately attach clinical documents into patient charts in the EMR.
  • Makes timely and accurate determinations of document types in order to determine if documents need to be sent to a clinician for authorization.
  • Reviews incoming record requests. Identifies the documents being requested and ensures correct records are released to the requesting party. Ensures that documents throughout the processing of the request are completed.
  • Answers questions related to record releases, responds to requests for patient information and confirms authorizations for such requests.
  • Fulfills requests for medical records in accordance with established procedures.
  • Follows up on record releases sent to WHA sites for proper clinician authorizations in a timely manner.
  • Answers questions and communicates with WHA sites regarding scanning and indexing.

QUALIFICATIONS:

  • High school diploma or GED equivalent preferred.
  • Experience working in a medical group setting preferred, preferably in OB/GYN.
  • Proficient in Microsoft Office suite (Word, Excel) with specific focus on creating, editing, searching spreadsheets/databases, word processing and communicating using Outlook.
  • General understanding of HIPAA security and privacy rules.
  • Prior experience with electronic medical records or related area preferred. Experience with Centricity Practice Solutions preferred.
  • Experience providing excellent customer service to internal customers.
  • Ability to keyboard quickly and accurately.
  • Knowledge of or the ability to learn medical terminology.
  • Working knowledge of the document scanning and indexing process preferred.
  • Ability to travel to various WHA sites.
  • Ability to demonstrate The Values Statement and The Patient Experience of WHA.
  • Ability to perform the essential functions of the job.
